Checklist templates

If you need to edit or delete an existing checklist template, or create a new one,

Go to Settings > Checklist templates > Templates.

Creating a new template

Before you start creating a new checklist template, check if you have the necessary checklist categories and task categories created. If not, start by creating them first.

You can then proceed to create a new template:

  1. Click the Add checklist template button.

Then a form will open in which:

  1. Enter a title (this field is required).
  2. Select a category (this field is required).
  3. You can choose targeting.
  4. Optionally, add a note.
  5. Save using the Update button.

You can then add tasks to the created template using the Add new task button.

A task detail form will open on the right, which is divided into 3 sections:

  1. What is it about?
  2. Who is handling it?
  3. Due by?

1. What is it about?
  1. Enter a title.
  2. Select a task category.
  3. You can enter a description for the task.

2. Who is handling it?
  1. You can select the task author. If you do not select an author, the author will automatically be the person who creates the checklist on the employee card.
  2. Set a circle of possible solvers. You don't always have to specifically name the solver, you can select a person by role:
    1. Concerned employee
    2. Manager
    3. Manager of manager
    4. Approver
    You can also select specific users or users with specific classifications (= targeting) as the solver.
  3. Choose how the task will be completed with multiple solvers:
    1. Completion by one solver - it is enough for one of the solvers to take over and complete the task.
    2. Completion by all solvers - the task must be completed independently by each of the assigned solvers.

3. Due by?
  1. You have 3 options to choose from:
    1. No deadline - the task does not have a set completion date.
    2. Select a specific date - enter a specific date by which the task should be completed.
    3. Calculate - you can enter a "calculated" date = X days/weeks/months before or after a certain date that we obtain from the employee's profile - e.g. start date, end of probationary period, birthday, etc.
  2. Save using the Add new task button.

Editing an existing checklist/task template

  1. Click on the pencil icon to open the details of the selected checklist/task.

  1. Make the desired changes.
  2. Save using the Update button.

Copying a template

  1. Select the checklist/task you want to copy and click the copy icon next to it.

  1. The system will ask you if you really want to copy the selected checklist/task.

  1. If so, a copy of the checklist/task will be created.

Deleting a template

  1. Select the checklist/task you want to delete and click the cross icon next to it.

  1. The system will ask you if you really want to delete the selected checklist/task.

  1. If so, the checklist/task will be deleted.
